Tips and Best Practices

 

  • Respond to all messages within a day if you are in the office
    • If you need to research or perform an action - notify the caller

  • Include important information in your greeting and change your greeting if you will be out of the office for an extended period
    • In doing so, your callers recognize that your voice mailbox is an important tool to you

  • When leaving a message for someone, leave a complete message including your name and phone number
    • Give them enough information so they can respond to you without talking to you first

  • When calling someone and your call goes to voice mail - remember you have the option of pressing "0" for further assistance

  • Your voice mailbox will hold a total of 73 unplayed messages
    • After it is full, it will announce to your callers that it is full and no further messages will be accepted
    • It is important for you to delete unneeded messages from your saved queues

  • New messages will be held in the new message queue for a maximum of 21 days; after that period of time, they will be automatically deleted

  • Saved messages will be held in the saved message queue for a maximum of 8 days for Voice Mail Basic Plan and 15 days for Voice Mail Plus Plan from the time they were delivered to your mailbox; after that period of time, they will be automatically deleted

  • All mailbox functions are based on single-digit mnemonic commands to help you to remember what the commands are
    Examples:
    • P (the 7 key) to Play your messages
    • M (the 6 Key) to Make a message
    • U (the 8 key) to access User options, etc

  • Once you are familiar with the operation of your voice mailbox, you do not have to wait until a voice prompt is completed before pressing a key on your telephone

  • Always be courteous and professional on the phone
