ACE

To allow each department to use UTHSCSA’s electronic administrative business systems, an Access Control Executive (ACE) must be appointed by the Dean, Chair, or Director using the Access Control Executive (ACE) Designation Form. It is required the ACE be a senior member of the department: Dean, Chair, Director, Associate/Assistant Director, Administrator, or the department's senior Administrative position(provided the department's organization structure does not include an Associate/Assistant Director or Administrator). The ACE must be knowledgeable about the University's policies and procedures, internal controls, and the department's business processes and organizational structure.

In the ACE's absence, only the Dean, Chair or Director may assume the responsibilities and duties of the ACE.

The ACE has the critical responsibility for managing the departmental users who have been granted access to PeopleSoft, the Document Review System and Data Warehouse systems or databases. These systems contain sensitive data and information critical to the business processes at the HSC.

Mandatory ACE Training
All ACE's are required to attend annual Mandatory ACE Training held in October. During this training, ACE's are encouranged to review all"access user lists"for all application systems. There are several classes offered to try and accomodate different schedules. This class is strictly for the ACE's, therefore ACE's are unable to send someone to the training sessions in their place. 

One-on-One"New"ACE Training

DCATS will contact newly appointed ACE's to schedule initial ACE training. This one-on-one training is conducted throughout the year. This includes both a technical and functional overview. All ACE Tools are reviewed, user access and appropriate forms.
