Team Accomplishments as of April 2007 include:

  • Re-engineered major personnel business process i.e., the hiring/rehiring of employees, making requests for position creation or modification, and managing and tracking “Persons-of-Interest” (POI’s), formerly called non-employees.
  • Partnered successfully with an established user test group to validate HCM usability and front office business processes.
  • Performed two rounds of Comprehensive testing of all business processes to include all front office and back office processing for example, multiple payrolls, benefits transactions, interface with internal and external systems, and web-based training.
  • Using an external company, successfully completed performance and load testing for the HCM System and its new architecture.
  • Parallel testing was a successful coordinated effort between the HCM 8.9 Upgrade Project team and the back offices of Human Resources, Payroll and Accounting.  Each payroll was validated through to GL by accounting and payroll personnel while a comparison was made with current production HRMS 7.5 data while simultaneously validating our re-engineered business processes.  This test was a HUGH success.
  • Prepared UPK web-based training for Employee Self Service users and Front Office Departmental users.
  • Prepared Front Office Departmental and Back Office Hands-on Training in preparation for Go-live.

The rationale for upgrading from HRMS 7.5 to HCM 8.9

The business application system the Health Science Center (HSC) is currently using, PeopleSoft HRMS 7.5, is functionally outdated and technically risky because the vendor no longer supports it.

The upgrade will

  • Protect the HSC with Oracle-supported HCM 8.9 software.
  • Let the HSC transform and streamline its business processes, allowing us to work smarter and more efficiently.
  • Give the University new software functions, such as Employee Self-Service, providing individual employees with direct access to beneficial online processes via the Web .
  • Help the University reduce costs and move toward becoming a paperless, environmentally-friendly workplace.

HCM 8.9 Upgrade Focus and Timeline

There will be two HCM 8.9 upgrade phases, with implementation of Phase A scheduled for July 2007.

Some of the new features include the following:

Phase A:

  • Single sign-on, providing access to multiple HSC online applications without having to logon more than once
  • HCM 8.9 online training available 24/7, so individuals can learn how to use the system whenever they’re ready
  • Employee Self-Service for making changes to personal data such as emergency contact information, or reviewing benefits or pay advices
  • Workflow e-mail notifications between Departmental Administrators and Back Office for better, more timely communications of employee system transactions.

Phase B:

  • Online Self-Service request for his or her W-2 form
  • Online Self-Service W4 tax-withholding changes
  • Online Self-Service Direct Deposit
  • Standardized processes for leave collection and absence management
